Software Planning Tools and Templates

Define requirements, compare software, estimate ownership cost and run a pilot with free tools and downloadable worksheets.

Choose a resource by the decision you need to make. The interactive tools run in page memory and downloads are created locally. They require no account or email address. Refreshing clears entered tool data, so download a copy if you need to keep your work.

Define the requirement

The requirements guide includes six illustrative rows covering workflow, visibility, export, ownership, accessibility and cost. Download its blank CSV and fill in the problem, outcome, evidence and owner. Use the acceptance-criteria worksheet when a confirmed need must become testable work.

Compare the options

The software evaluation scorecard compares two to four user-named options. Essential gates remain separate from weighted scores, and blanks remain incomplete. It is a record of your judgement and evidence, not a product certification or a published vendor ranking.

Calculate the ownership cost

The SaaS cost calculator compares two scenarios over a shared horizon. It separates supplier and transition costs from internal time, shows exclusions and provides a CSV. Read the worked ownership-cost example before using the total as part of a budget decision.

Run a bounded pilot

The software-pilot checklist attaches tasks, owners, evidence and decisions to a proposed two-week evaluation. Adapt it to your participants and the actual trial conditions. The schedule is a planning template, not a promise of supplier trial access.

Use and keep your work

These templates may be adapted for your internal planning. Keep private client records and credentials in your organisation’s approved systems. AppTrajectory does not need them to explain the method. See content-use terms for other reuse, and contact the publisher if a tool result or instruction appears wrong.
